Allocation and Attendance¶
Allocating employees to a contract¶
To allocate the employees required for the contract, please follow the steps below
In the CRM container, in contracts folder, select the contract for which you want to allocate employees for
A contracts edit window will pop up on the screen
From the menu bar on the window, select “Go To”
Click on “Allocation and Attendance”
You will be guided to allocation and attendance window. This window looks similar to a spreadsheet.
Please select month for which you wish to allocate employees.
Fill in the required information.
Click on Save, on top right hand corner of the screen
For any keyboard shortcut refer to “Help Text” availalbe on the bottom right side of the screen
Marking Attendance for employees in a contract¶
For “Attendance Based Contracts” you are supposed to mark attendance for employees. You can use the following steps to mark the attendance
Please note that by default the attendance policy of the contract has been set to “Present unless marked absent” and therefore the information of only the employees who were absent has to entered into the system
In the CRM container, in contracts folder, select the contract for which you want to mark attendance for
A contracts edit window will pop up on the screen
In the menu bar on the window, select “Go To”
Click on “Allocation and Attendance”
You will be guided to allocation and attendance window. Please select “Attendance” tab
Select the month for which you want to mark the attendance for
You will notice that as per the attendance policy, the employee has been marked present
Edit the attendance.
Click on Save, on top right hand corner of the screen.
In case the attendance is being submitted to a linked principal employer, the edited attendance is accompanied by markers.
Marking Job Work Status¶
For “Job Based Contracts” the contractors can mark the daily completion status of the work. To mark the job work status follow the steps below:
In the CRM container, in contracts folder, select the contract for which you want to mark status for
A contracts edit window will pop up on the screen
In the menu bar on the window, select “Go To”
Click on “Allocation and Attendance”
You will be guided to allocation and attendance window. Please select “Job Status” tab
Please note that the Job status tab is available only in “Job Based Contracts”
Select the month for which you wish to update status for
Fill in the status
Click on Save, on top right hand corner of the screen
If you have switched the “Product Quantiy Entry by Subtotal Rows” button ON, then the enteries done in sub-total row are divided equally among all the allocated personnels. In case you wish to divide the job work status on any other factor then you may use job annotation feature by using the steps below
In the Job Status Tab, after filling daily job work, click on the cell in Qty.(Curr. Month) column , in sub-total row
Click on “+” symbol in front of Job Annotation
Add the description and quantity
Click on Save
Please note that the “Job Annotation” would save only if the Total Production Quanity(Current Month) matches with Total Annoted Quantity.
Understanding the column headers in Attendance, Allocation and Job Status tab¶
Allocation Tab
Allocation Tab, as mentioned above is used to define the personnels responsible for the work in the span of the selected month. The column headers in the tab are as follows
Location: Select the location for which you are allocating the employees. The options will be available as per the locations selected at the time of contract creation
Product: Select the product/Designation for which you will be allocating the employees
Employee: Select the name of the employee whom you wish to allocate to for the work.
Dates: The date and day on which you are allocating the employees . It contains the shift in which the employees are being allocated.
Total Hrs (Days) : The sum of total number of hours for which the employees have been allocated in the month. In bracket it shows the total days for which the employees have been allocated
Along with the above mentioned columns a sub-total row is present after every record. This gives the total hours for which the employee had been allocated in a day.
Attendance Tab
The attendance tab is used to mark attendance against the allocation.
Location/Product/Employee: The rows will show the information as was selected in Allocation tab
Date/Day: You are expected to month’s attendance in these columns. If at the time of contract we had selected, “Present until marked absent” it will show “P” for all the employees and you can edit it.
Total Hrs(Days): The sum of total hours for which the employee has been marked present. Within brackets the sheet depicts the total number of days.
The sub-total row shows the total number of hours for which the employee has been marked present in the day
Completion Status
The completion status as mentioned above is available only for “Job Work” contracts.
Location/Product/Employee: Just like attendance tab the rows will show the information as was selected in Allocation tab
Date/Day: The day’s status can be updated on daily basis for respective dates.
Qty(Curr.Month): The total sum of work done in the month is displayed in the column.
Total Qty(%age): This column shows the total work done against the quanity mentioned at the time of contract creation.
